Standard Operating Procedures: Visiting Lecturer/Staff

  1. The candidate of visiting lecturer/staff from international research institutions or iuniversity partners overseas as an applicant has to submit the application to Office of International Affairs (OIA) Universitas Gadjah Mada via online or directly come to the office;
  2. Faculty/Study Center/Institution who is inviting the Visiting Lecturer/Staff from overseas to Universitas Gadjah Mada is required to submit the Letter of Request to the Head of Office of International Affairs along with the applicaton. the The required documents for the application are:
    • Resume/Curriculum Vitae
    • Recommendation Letter signed by the institution of origin
    • Official Application Form from the Faculty/Department
    • Recent Academic Certificate
    • Letter of Sponsorship indicates the financial support
    • 1 Copy of Passport
    • 2 colorful photo 4 x 6
    • 1 page of summary contains of the details of activities;
  3. If it is accepted, admission staff at the Office of International Affairs will send the Letter of Assignment and Surat Permohonan Pembebasan Dana Pengembangan Keahlian dan Keterampilan (DPKK) to DIKTI. Afterwards, DIKTI will proceed the document to BPKLN. The applicant or candidate of Visiting Lecturer/Staff in G to G program and certain institutions (based on BPKLN), the Letter of Assignment will be issued by Sekretaris Negara (SETNEG);
  4. After receiving the Letter of Assignment and DPKK and BPKLN, admission staff at the Office of International Affairs will ask a request to Depnaker in order to issue the Letter of Aprrovement for Visa Application to work (TA 01), to be given to the applicant;
  5. Along with the TA 01, Incoming Permit staff will process the visa to Dirjen Imigrasi;
  6. Letter of Assignment and Visa Otorization will be sent to the applicant or candidate of the Visiting Lecturer/Staff overseas via email or fax;
  7. After the applicant applied for Visa to the Indonesian Embassy or Consulate General, the applicant is able to come to Indonesia and confirm to the Office of International Affairs.
